Administrative Assistant - Hybrid - Commercial Real Estate

We are seeking a highly organized and proactive Administrative Assistant to support our office operations and leadership team.

Position Overview

The Administrative Assistant will play a key role in supporting daily office operations, coordinating schedules, managing administrative tasks, and assisting various team members as needed. The ideal candidate is detail-oriented, adaptable, and comfortable working in a fast-paced environment.


Responsibilities

  • Provide general administrative support to leadership and staff
  • Manage calendars, schedule meetings, and coordinate office activities
  • Prepare, edit, and format documents using Word, Excel, and PowerPoint
  • Process expense reports and reimbursements through Concur
  • Assist with special projects and department tasks as assigned
  • Maintain organized filing systems and office supplies
  • Serve as a professional and courteous point of contact for internal and external stakeholders
  • Support onboarding activities and assist with office logistics

Required Skills & Qualifications

  • Proficiency in Microsoft Word and Excel
  • Experience with PowerPoint is a plus
  • Experience using Concur (or similar expense management software)
  • Strong written and verbal communication skills
  • Ability to prioritize, multitask, and meet deadlines
  • High level of professionalism and confidentiality
  • Strong attention to detail and organizational skills

Schedule & Work Arrangement

  • Schedule: Monday-Friday, 8:30 AM-5:30 PM
  • Work Location: Primarily in-office; limited remote flexibility may be considered (TBD)
  • Hybrid work schedule available after the onboarding period (TBD)
  • Likely hybrid schedule:
      • Monday & Friday: Remote
    • Tuesday-Thursday: In-office
    • Subject to business needs and may vary occasionally
